California Privacy Notice
Effective: June 2026
This California Privacy Notice explains how Ralph S Richardson Insurance Agency (“we,” “us,” or “the agency”) collects, uses, discloses, and protects personal information obtained through this website, and the privacy rights available to California residents. It applies to information collected through this site and to any phone or email follow-up resulting from a request you make here.
This notice supplements—and does not replace—the separate privacy notices you receive in connection with an insurance application or policy. Those insurance-specific notices govern information collected in the insurance transaction itself.
Information We Collect and Where It Comes From
We collect personal information from the following sources:
- Your name, the phone number or email you choose to provide, the line of insurance you’re interested in, preferred call time, and your consent selections — each recorded with a timestamp.
- The name, email, phone number, and appointment time you enter when booking. Calendly serves as our service provider and processes this information in accordance with its own privacy policy.
- IP address and basic request data are collected by our hosting provider for security and site operation.
These data types fall within the CCPA/CPRA categories of identifiers, customer-records information, internet or network activity, and commercial/inquiry information.
Please do not submit Social Security numbers, full policy or account numbers, health information, or financial-account details through this website. Our forms are designed not to request them.
How We Use Personal Information
We use the information described above to:
- Respond to your request and route it to a licensed team member
- Schedule and conduct the conversation you asked for
- Operate, secure, and improve the website
- Maintain consent and audit records required under insurance regulations
We contact you only in the ways you have consented to. You may revoke consent at any time (reply STOP to texts, or notify us by phone or email), and we honor revocation before any further contact. We do not send automated marketing without your prior express written consent.
How We Disclose Personal Information
We disclose personal information only as necessary to operate our business, and only to:
- Service providers/contractors who process information on our behalf under contracts limiting their use to our purposes — including our website host, Calendly, and our email-delivery provider.
- Licensed agents and insurance carriers, when you apply for or hold a policy, in the ordinary course of insurance business.
- Legal or regulatory recipients, when required to comply with a legal obligation or lawful request.
We do not disclose personal information for cross-context behavioral advertising.
We Do Not Sell or Share Your Personal Information
We do not “sell” personal information or “share” it for cross-context behavioral advertising as defined under the CCPA/CPRA. Because we do not sell or share, there is no need for an opt-out link.
Your California Privacy Rights
To the extent the CCPA/CPRA applies to us, California residents may request to:
- Know/access the categories and specific pieces of personal information collected, the sources, purposes, and categories of recipients
- Delete personal information, subject to legal exceptions (insurance recordkeeping laws may require retention)
- Correct inaccurate personal information
- Opt out of sale or sharing (we do neither)
- Limit the use of sensitive personal information to the extent any is collected
- Be free from discrimination for exercising these rights
How to exercise your rights:
Contact us using the information under Contact Us below. We will take reasonable steps to verify your
identity before acting on a request and will respond within the timeframes required by law. You may use
an authorized agent; we may request proof of authorization and may verify your identity directly.
Sensitive Personal Information
Our website forms are not designed to collect sensitive personal information, and we ask that you not submit it. If we collect any sensitive personal information in the course of providing services you request, we use it only as permitted by law and only for those necessary purposes. You may request that we limit its use.
Retention of Personal Information
We retain personal information only as long as necessary to:
- Fulfill the purposes described in this notice
- Meet regulatory and insurance-industry recordkeeping obligations
- Comply with legal requirements
Children’s Data
This website is not directed to minors under 16, and we do not knowingly collect personal information from them.
Keeping Information Secure — and What Not to Submit
We take reasonable measures to protect the information you provide. However, no website transmission is
completely secure.
Do not send Social Security numbers, full policy or account numbers, health details, or
financial-account information through this website. When such information is needed, your licensed
agent will provide a secure channel.
Do Not Track
We do not respond to browser “Do Not Track” signals.
Insurance Privacy (Separate Notices)
When you apply for or hold an insurance policy, you receive privacy notices required under the
California Insurance Information and Privacy Protection Act (Insurance Code §791 et seq.) and
the federal Gramm-Leach-Bliley Act. Those notices govern information collected in the
insurance transaction itself.
This website notice is preliminary and supplements those required disclosures.
Changes to This Notice
We review this notice periodically (at least annually) and may update it. Material changes will be posted here with a revised effective date.
